These terms govern your use of easyCP12. By creating an account or using the service, you agree to them. If you are signing up on behalf of a business, you confirm you have the authority to bind that business to these terms.
easyCP12 is operated by [legal entity name — to be confirmed], trading as easyCP12 (“we”, “us”), a UK software service for gas and heating engineers. Registered address: [registered company address].
easyCP12 lets a registered gas engineer log a gas safety check, generate a CP12 (Landlord/Homeowner Gas Safety Record) as a PDF, email it, and track when each property is next due. It is a record-keeping and document-generation tool. It does not perform, supervise, or certify a gas safety inspection — that is the engineer's own professional work.
easyCP12 costs £15/month per engineer, covering unlimited certificates. Subscriptions renew automatically each billing period unless cancelled before the renewal date. You remain responsible for charges incurred before a cancellation takes effect. We may change the subscription price with reasonable advance notice; continuing to use easyCP12 after a price change takes effect counts as acceptance of the new price.
The exact billing cadence, any free-trial period, and proration terms are still being finalised (see decisions.md, “Pricing: flat £15/month per engineer”, dynamics marked TBD) — this section deliberately uses general subscription terms until those specifics are confirmed, at which point this section should be updated with the precise mechanics.

That last point is a serious breach of these terms in its own right, and may itself be a criminal offence under the Gas Safety (Installation and Use) Regulations 1998, independent of anything easyCP12 does or does not do.
easyCP12 is a tool for producing and sending a document — it is not a certifying body, and using it does not itself make a certificate valid. A CP12 you issue through easyCP12 is only a valid legal record if you, the engineer, hold current Gas Safe registration and the competence to carry out the inspection it describes, and if the details you enter are accurate. You are solely responsible for:
easyCP12 does not check, verify, or guarantee your Gas Safe registration status, the accuracy of what you enter, or the correctness of your inspection findings. We provide the software; the professional judgement and legal responsibility for the certificate is yours.
Where you use easyCP12 to log and issue certificates containing landlord, tenant, or occupier personal data, you (the engineer) are the data controller of that data, and easyCP12 acts as your data processor — see our Privacy Policy for the full explanation of this relationship, including our sub-processors and how long certificate data is retained. By agreeing to these terms, you and easyCP12 also agree to the data processing terms set out in the Privacy Policy, which is incorporated into these terms by reference and serves as the Data Processing Agreement (DPA) between us for that certificate data, rather than a separately negotiated document — standard practice for self-serve SaaS.
We own all rights in the easyCP12 software, branding, and certificate templates. You own the certificate data you enter and the certificates you generate through the service.
We aim to keep easyCP12 available but do not guarantee uninterrupted access. We may suspend the service for maintenance, and depend on our hosting and infrastructure providers (see the Privacy Policy's sub-processors section) for uptime.
To the maximum extent permitted by law, easyCP12 is provided “as is”. We are not liable for indirect or consequential losses, or for losses arising from certificates you issue that contain inaccurate information you provided. Our total liability to you in any 12-month period is capped at the subscription fees you paid us in that period. Nothing in these terms limits liability for death or personal injury caused by our negligence, or for fraud, where the law does not allow such a limitation.
You may cancel your subscription at any time (see “Subscription and billing”, above). We may suspend or terminate your account if you breach these terms — including issuing certificates you know to be inaccurate or fraudulent. On termination, you remain responsible for the accuracy and retention of certificates already issued, in line with your own statutory obligations under Regulation 36(3) of the Gas Safety (Installation and Use) Regulations 1998.
We may update these terms as the service changes. We will update the “last updated” date above when we do, and post material changes prominently.
These terms are governed by the law of England and Wales, and any dispute arising from them is subject to the exclusive jurisdiction of the courts of England and Wales.
